FlowHQ Parent · Last updated October 13, 2026

FlowHQ Parent is published by Metesis LLC. The app lets a parent or guardian see their own children's information at the martial arts or activity school those children attend, and check them in to class.

Who controls your information

Your school does. The records shown in the app — your children, their attendance, ranks and payments — are created and owned by the school, not by us. Metesis LLC stores and processes that information on the school's behalf. Requests to correct or erase those records go to your school directly; we cannot make those decisions for them.

What the app collects

What the app does not collect

How it is used

Only to run the service and to improve it: signing you in, showing your children's information, recording a check-in you press, sending you messages your school sends, and — where your school has enabled it — understanding which screens get used. We do not sell personal information, and we do not share it with advertisers.

Location, if your school checks it

Some schools require that you are actually at the building before you can check your child in, so that check-in cannot be tapped from home. This is off unless your school turns it on, and the app will only ever ask for your location on a class where it applies.

When it applies, here is exactly what happens. You tap “Check in”. Your phone works out where it is and sends that one position to us. We measure how far it is from the school, allow or refuse the check-in, and throw the position away — it is never written to your child's attendance record or anywhere else, so there is no history of where you have been. We ask for “while using the app” access only, which means your phone will not give us your location when the app is closed even if we asked for it.

You can refuse. Nothing else in the app stops working, and your school can still check your child in at the front desk.

Usage analytics

Schools can switch on a setting that records which screens you open in the app — for example "home", "attendance" or "leaderboard" — together with the date and time, your app version, whether you are on iOS or Android, and which child you were looking at. This setting is off unless your school enables it.

These records are not stored against your name or your account. Each one carries a scrambled code instead. The code changes every month, and at the end of each month we delete the only thing that could connect that month's codes to real people — so from then on, those records cannot be traced back to you by anyone, including us. What they let us see is how many families used a screen, never which ones.

They are used for one purpose: letting your school and us see which parts of the app are actually used, so the useful parts get improved and the unused ones get removed. They are never sold, never shared with advertisers, and never combined with information from other companies' apps or websites.

We keep these records for 12 months, then delete them automatically. If you delete your account, the current month's records go straight away. Earlier ones are already untraceable, as described below, so there is nothing in them left to connect to you.

These usage records hold only the name of the screen — never what you typed on it. Suggestions and notes you write are stored separately, as described above, and are not part of this usage trail. Nothing about your device is recorded beyond its platform and the app version. To ask whether your school has this switched on, or to ask them to turn it off, contact your school.

Children's information

The app is for adults. Children do not create accounts and do not sign in. Information about a child is entered by the school and visible only to the guardians that school has linked to that child, and to the school's own staff. A child's photo is only ever added by a guardian or the school — never by the child — and can be removed from the child's profile at any time.

One exception, if your school turns on leaderboards. Leaderboards show how many classes students attended this month and how many consecutive weeks they have trained, for your child's classes and for the school as a whole. Students appear there to other families by first name and last initial only — never a full name, a photo, an age, contact details or anything else. No other part of a child's record is visible to another family. Leaderboards are off unless your school turns them on, and your school decides whether to use them at all — so questions about them go to your school.

Deleting your account

You can delete your account at any time from inside the app: Profile → Delete my account. That permanently removes your login and signs you out of every device. It also erases your registered devices, any notes you wrote about your own child, and your app usage records; suggestions you sent are kept but stripped of your name.

If you no longer have the app installed, you can request the same deletion by email — see how to delete your account.

Your children's school records are not deleted with your login. They belong to the school, which needs them for attendance and billing, and other guardians may rely on them. To have those erased, contact your school.

Security and retention

Traffic is encrypted in transit (HTTPS). Passwords are stored only as bcrypt hashes. Sign-in sessions are stored on your device's encrypted keychain and expire after 30 days; you can revoke them sooner by signing out. We keep account information for as long as the account exists.

Your choices

Changes

If this policy changes we will update the date at the top of this page, and note material changes in the app.
